Save To(night) – Save to Workflowy on mobile is now available

Hey there Workflowy folks, we’re starting off 2023 with a feature that’s sure to please our mobile users. Regardless of which operating system you use, you can now save items to your Workflowy without having to open the app. This is great for quickly capturing snippets of text and links for later. Items you save will be put in an ‘Inbox’ bullet at the top of your Workflowy account.

How do I save items?

First, make sure you have the latest version of the mobile app, otherwise, the feature won’t be available.

  1. Select some text
  2. Tap the application’s ‘Share’ button
  3. Tap the Workflowy icon
  4. Edit the content to be saved if you wish
  5. Confirm to save

Here’s what that looks like on iOS and Android.

Note that some apps will use an icon to indicate the share functionality, below are some examples.

A. After selecting some text, tap the app’s ‘Share‘ option.

B. Select the Workflowy app.

C. Confirm the content to be saved.

D. Success! Your saved content is now in an ‘Inbox’ bullet at the top of your Workflowy.

Where can I use this feature?

This feature depends on your mobile operating system’s share functionality so it’ll work pretty much everywhere you can select text or where you can browse internet content.

Some examples of apps where you can try the feature:

  • Web browsers (Chrome, Safari, Firefox)
  • Note apps
  • Media apps (YouTube, Spotify)
  • Social media apps (Twitter, Reddit)
  • Email apps

FYI this isn’t working at all on iOS. Workflowy doesn’t show up in the list of apps to share to.

well, this feature is not working at all on both my android devices. Everthing I try to save gives: Something went wrong.

When using this feature on Android for web pages in previous versions, it would create an item showing the actual URL so it would look something like this (fake urls to illustrate my point):

  • http//wikipedia/topic1
  • http//wikipedia/topic2
  • http//wikipedia/topic3

This was working perfectly to distinguish which link is which, and I could copy-paste that as URLs for other applications.

In more recent versions, it creates a link to the actual URL and shows the website name as the text:

  • Wikipedia
  • Wikipedia
  • Wikipedia

This makes it impossible to distinguish which link is which at a glance, especially for large numbers of URL. Is there a way to NOT show the website name?

Otherwise, is there a way to replace the text with the URL in batch? I just went over 200 such links manually and it was bad 🙂

Hi, could you add option to choose, which bullet I want to use as Inbox? I like how it works, but I want to set my own location, where to save the content.

I think that the “Save to” should work in reverse order: when you add the optional text, that text should be the parent node with the link as a son node.

For example: if you save a link about “New feature in Workflowy”, you want that description to be visible at first. And then, inside that node, to have the link if you want to read about that.

Right now the “Save to” goes in the reverse way. So, in the same example, you would have this nonsense:

Brilliant on the Android phone for quotes and articles and with the choice of straight text or with the link. Another great feature. Cheers.

To those having the “please login” loop… I am experiencing the same when using the “save to Workflowy” text, but it’s working fine if I first click on the Workflowy icon.

I wish you could do this with Reminders!!!

I love this feature – saves me a step when capturing things I want to remember, makes workflowy itself more seamlessly my main 2nd brain, which is how I (strive to) use it anyway,. However, it seems to have broken my ios workflowy app – which isn’t an emergency for me that it might be for some, as I mainly use it on a windows PC anyway – but hopefully someone can figure out why the app is having a problem after adding this feature. (could be just a coincidence or something else about the latest ios app update, I’m just guessing).

the funny thing is the feature still seems to work on my iphone – meaning stuff i “share to worfkflowy” is still getting saved to my account for access on my desktop/web workflowy – its just that the ios app itself has become unusable, stuck in a reloading loop or something – I have tried uninstalling and reinstalling on the phone, as others have mentioned here, and it’s happened again.

Works well (to my Android phone), and much needed. Only problem I have is that I already had an Inbox bullet and this created a new (2nd one) as well. But that’s my naming problem – and I really needed to clear up that inbox of mine anyway.

Agreed with others that I’d like to see the bullet get a title – perhaps the title of the web article or page that has been shared.

You can move everything from your old inbox to the new inbox.

And if you created your old inbox with something like the Clip to WorkFlowy browser extension, you can go into its settings and change it to use your new inbox. You can even rename the inbox if you like (e.g., you could put the Inbox emoji in front of it, like I do, if you want to make it stand out).

Problem is introducing half-baked features. Yes, this feature works for me on Android. However, the problem we are trying to solve is quick capture. What if I need to quickly capture an item that came from my thoughts instead from another app. I still need to go to Workflowy, go to Inbox, add my item. I am running Workflowy in legacy mode (i.e. switched to another app but kept the notes as it would be too difficult to migrate) thankfully

If you mean quick capture from a web browser on a PC or Mac, you can use the Clip to WorkFlowy browser extension, going into its settings and setting it to use your new inbox created via Save to WorkFlowy. That way, not only can you further automate capture, you only have to have one inbox for everything incoming.

You can even rename you inbox if you like (e.g., you could put the inbox emoji in front of it, like I do, if you want to make it stand out, and you can apply text formatting to it as well).

I’m having the same issues as others below regarding Share Menu Action not working and requesting me to login even when I’m already logged in. Unfortunately, Workflowy doesn’t seem to care as they’ve continually ignored my support requests regarding this issue. I’ve literally tried EVERYTHING imaginable to get it to work. Everything from deleting the app, installing it fresh, switching to password-based login instead of magic link, logging out of the app and then using the action extension and proceeding to try logging in specifically through the action extension, etc. NOTHING has worked. I don’t care to use the default share extension icon as I have many other apps that take priority over Workflowy in the icon list itself so moving Workflowys icon to the front of the list is not a solution.

I’m quite frankly baffled as to why a product as mature as this one still has yet to add Apple Shortcuts support. I’m quickly losing faith in the entire Workflowy ecosystem as well as the trust in the team behind it. I feel that their users experience isn’t very important to them and they just do what they want, when they want, who cares if their dedicated customers desire something? If they aren’t interested, it’s not even worth a second look to them. These are unfortunately the impressions I’ve received after nearly 2 weeks of trying to contact support about this issue.

As a mobile only user, as I do not own a laptop or a desktop, this is my favorite feature you’ve ever introduced!

My only constructive feedback is to shorten the time the success screen is up. It’s nice to know that the save worked, but I’m using it so often the amount of time I’m staring at the success screen is really adding up. 😁

That’s a great feature. But it would be even better if:
– The bullet title was the title of the article (and not the beginning of the extract)
– The link to the article, web page, etc. was included.

Doesn’t work for me 🙁 The share To Workflowy screen shows a window with a blue login button. I’m already logged in though. When I click the blue button it takes me to the Workflowy app (updated to the latest version) and… nothing happens.

Tried multiple times. Keeps telling me to either log in or sign up 🤦‍♂️

Weird. Reach out to support with a bug report and see what they say. Maybe they can track it down for you.

It worked for me, so I have no idea what’s different about our set-ups. Make sure you tell support about what operating system and phone you’re using, etc., but I’m sure you know that. Good luck.

I get the same behaviour (blue login button, …) if I try to use the “Save To Workflowy” action extension (from the vertical list of actions with monochrome icons below the set of app icons) – but using the Workflowy share extension (in the horizontal row of coloured app icons) it works OK.
I’m not sure what the difference is supposed to be, but I think the action extension would automatically insert the input content without the additional UI presenting the input and needing a manual press of ‘Send’? This would be ideal for use within iOS shortcuts, so if anyone knows how to get that option working, that’d be really handy!?

To answer my own question, yes you can (and you can also rename it: I use the inbox emoji in front of the name, because why not?)!

Works great! I’d love to see some integration with apps like Slack. I appreciate the individual release of features because it seems like they WORK when they’re released and they’re all quality of life features.

This is a great step towards making Workflowy more usable on the go. A second brain must function wherever we are!

That said, I hope this vein is explored further so that we’ll be able to not just copy existing content onto Workflowy, but also directly type (or speak) short notes, without having to open the full-blown app. This is definitely possible, as other apps have pulled it off, so it’s just a matter of setting the sights of that type of interaction as a goal. Quoting my response to the the tweet announcing this change:

I’ve always liked the “Quick dialog” functionality of the Quick Dynalist app, which is a home screen button that I can click to open a small pop-up widget to input a new item, without having to launch the full app. I’d LOVE if Workflowy had this feature!

It saves Unicode gibberish %82%D0%B instead of native text. And it puts a link before text, but the more convenient place is a note field below.
