Hey Workflowy folks, today we’re making it possible for you to save a copy of all your files and images to your desktop. If you ever need a copy of all your files, they’re now easily accessible. The new files export option allows you to generate a zip file with all the files and images in your account for easy download, backup, or uploading them elsewhere. We hope this change addresses the concerns some users have expressed about future portability.
How do I export my files?
In order to export the files and images from your account:
1.Open the ‘More‘ menu in the web application
2.Choose ‘Download Files‘ from the menu

This will open a new page where you can create new zip files containing all your files and images and also download previous zip files. Once you’re on the Downloads page:
3. Click ‘Prepare New Download‘
This will start the download preparation process. You can now close this window. Once we’ve gathered all your files and images, you’ll receive an email.

Once you receive an email from us with the subject line ‘Your Workflowy File Is Ready for Download‘, your download is ready.
4.Click ‘View your Downloads‘ in the email

This will open up a page where you can download the zip file that contains all your files and images. On the downloads page:
5.Click the ‘Download‘ link for the file you want to download

And that’s it. You’ll receive a zip file with all the files and images that were currently in your Workflowy account when you generated the download file.
Please note that once we generate a zip file with all your files and images, it will only be available for download for 7 days. Also, files that are part of bullets you are not the owner of will not be included in the download.
Let us know what you think in the comments below.
Until the next one!
This is great, but it would be so incredibly more useful if we could download all files under the current bullet.
What about adding some “export as html” options?
That would be actually usefull.
I use color a lot to distinguish different degrees of importance / urgency, but I can’t copy this color to any other program with the current export options.
Not sure what this is for?
I backup workflowy to dropbox. Is this different?
Do people store their files in workflowy?
I agree with keep it simple. It is getting too complicated.
I tried it, thinking it meant it would provide me with a my notes in a ZIP but I now realise it’s for files uploaded – which I don’t have, so it gave me an empty zip! The curious thing was that it seemed to take a couple of hours before I got an email to say it was ready.. with that empty file.
Would be great to see an “x” delete option; sometimes I make 2-3 archives per week, and they are 1.0-1.5 Gb… I feel bad wasting space on your servers; Thanks WF 🙂

Thanks for the hard work. Can you fix the bug of creation date?
Here I’m talking about the creation date shown at the bottom of the bullet menu. It’s a very useful feature that I love. However, its behavior is a bit weird.
When I create a new bullet by pressing enter in the middle of an existing bullet, the creation date of the existing bullet will become the time when I press enter, and the creation date of the new bullet will be the old creation date of the existing bullet.
This is a bit confusing and counterintuitive because the creation date of the existing bullet is changed.
I feel that it would be more intuitive if it were the other way around: the creation date of the existing bullet remains the same and the new bullet gets the time when I press enter.
Similarly, when I merge two bullets by pressing backspace at the beginning of the second bullet or by pressing delete at the end of the first bullet, the creation date of the first bullet will be changed to the time when the second bullet was created. This is really confusing.
I hope this is just a bug and not your design choice. Please consider changing this behavior. Thank you!
Very good feature!
One comment; it’s now difficult to know where the files used to belong to as they just keep the name they had while uploading, which doesn’t always make sense without the context of the bullet (presentation.ppt for example).
An improvement suggestion could be to add a HTML export option next to the text, OPML, etc and include the files in a zip archive download. The files can than link from the HTML. (basically a OPML / XML with a stylesheet and links to the files)
Would help much more if, instead of adding new features, existing long-term problems were solved first!
What problems are you having? I’ve been using the program for nearly a decade and I haven’t had any issues thus far
No, you are making exceptional progress of the product, but please look back also.
1) Dates. Handling of dates is not flexible, we would like to have full access to the format of dates eg. 9:30 on 2024-09-01 is not convenient in multi-language environments
2) Bookmark. There is no way to bookmark a bullet and return back in the same status (without expanding), ^K jumps to the bullet with the pageview of the bullet fullscreen
Plus sort. For God’s sake, add a sort feature!
Yes, this! I have a top level list of customer names and I want to be able to jump down to the bottom of the list to add another into a premade space without going into a bullet, just staying in the same context as I was.
This feature was recently added, I just saw.
Amazing feature!! It worked perfectly here. When Workflowy have PDF files preview, like most note taking apps, it will be THE perfect tool!
Thank you very very much, Workflowy Team!
I agree. It would be so great to preview the pdf…
Are you talking about the mobile version? Because the web version already supports this (click a link to a PDF file and the browser will display the content).
It’s a nice feature but only downloads a part of my files… In the DOWNLOAD zip I only get 49 total (19 files + 30 images) vs. actual > 84 (32 files + 51 images)… so maybe it could get a quick fix, cause it’s not working at the moment as it should… This could be beta tested before public… But again… Thanks, looks promising!
PS : My files are very static and have been in the past months, I barely do any changes > here and there…
Hey 8080 thanks for letting us know, I’ll flag this bug with the team.
Are the missing files part of bullets that you have access to but where you are not the owner?
I don’t share or mirror with others… all file stats provided above are for my personal account… So yeah, “i am the owner” of all these files… and there are no mirrors; but as I try to make some sense of what files/images are missing, most of them are the ones that have backlinks to them, so maybe this info helps…
Tested again, it works now… Thanks! BEST!
